About this role

Administrative Assistant - Trinidad Trinidad and Tobago The position supports day to day administrative activities, including handling correspondence, coordinating office tasks and providing general support to internal stakeholders. Additionally, the role provides support for local processes such as Offshore Work Permits & other Ministry related activities, arranging logistics and acts as a key liaison with building security to manage visitor access and office safety protocols. This role requires strong organizational skills, attention to detail and the ability to manage multiple priorities while maintaining confidentiality and professionalism. Principal Duties and Responsibilities Reception & Front of House Management • Serve as the first point of contact for all visitors and callers, providing a professional and welcoming experience. • Coordinate visitor access with building security, ensuring all visitors are authorized prior to entry. • Notify employees of visitor arrivals and manage guest check in processes. • Conduct brief office inductions for visitors, including emergency procedures, fire exits and muster points. • Manage incoming calls, screen and direct enquiries appropriately. Administrative & Office Support • Provide administrative support including scheduling meetings, arranging logistics and supporting day to day office operations. • Prepare correspondence, reports, presentations and other documentation as required. • Sort and distribute incoming/outgoing mail and manage courier services. • Coordinate travel arrangements, meetings and events as required. • Monitor and maintain office supplies and liaise with vendors as needed. • Support departmental projects and provide administrative assistance across functions when required. • Assist with the coordination and administration of Trinidad Ministry related
